In Center administration, the Operations Coordinator will:

1. Maintain the partnerships and agreements with the U.S.D.A. Forest Service & retail vendors through good communication and timely reporting;
2. Maintain financial plans with GBI’s Director, USFS and Finance Department;
3. Coordinate all facets of retail operations, including purchasing, receiving, inventorying, and reporting on all items sold at Centers;
4. Collaborate with the Education Coordinator and provide support for school field studies and Friday evening lecture series.

In budget and finance, the Operations Coordinator will:

1. Maintain existing grantor relationships, grant reporting and grant applications;
2. Identify, compile, and submit reports in a complete, timely, accurate and compelling fashion.
3. Keep donor profiles and track donor communications and meetings;
4. Support fundraising events, including sponsorship and auction item solicitation, vendor communications, entertainment booking, volunteer coordination, print and press material creation, and guest/participant tracking and communication;
5. Be responsible for maintaining sound financial practices with educational programs, grants and store operations;
6. Work with the education staff, GBI’s Director, and the Finance Committee in preparing a budget; Present budget to actual report monthly.

In communications, the Operations Coordinator will:

1. Be a professional, articulate, enthusiastic and informed ambassador of GBI and Visitor Centers;
2. Keep GBI’s Director fully informed on the condition of the Center and all important factors influencing it;
3. Work closely with and support the educational staff in communications with parents and teachers, and promotion of field studies;
4. Assist to publicize the activities of the organization, its programs and goals, through promotional printed materials, monthly newsletter, facebook postings, newspaper articles and radio programs;
5. Maintain sound working relationships and cooperative arrangements with community groups,  partners, volunteers, funders, Boards, and supporters;

In relations with staff, Operations Coordinator will:

1. Support recruitment, employment, training, oversight and release of visitor center personnel, both paid staff and volunteers, on a seven-day-per-week schedule during the months of May-October, and a five-day-per-week schedule during the months of November-April;
2. Provide oversight for store operations and inventory;
3. Ensure that job descriptions are developed, that regular performance evaluations are held, and that sound human resource practices are in place;
4. Encourage staff and volunteer development and education, and assist program staff in relating their specialized work to the total program of the organization;
5. Maintain a climate which attracts, keeps, and motivates a diverse group of top quality people.

QUALIFICATIONS:

1. Bachelor’s degree in environmental arts/sciences, outreach, education, recreation, or related field;
2. Proven success at meeting and exceeding goals;
3. Proven successful interactions with a diverse array of community stakeholders and partners;
4. Exceptional communication, interpersonal, and organizational skills;
5. Excellent computer/technology skills, especially in Word, Excel, PowerPoint and social media platforms;
6. Experiencein an education and/or outreach field;
7. Desired traits include: enthusiastic, friendly, approachable, adaptable, and optimistic;
8. Applicant must be comfortable with varied schedule and weekend work-days;
9. Strong and successful teamwork experience.
